Number series

How connote, manifest and quote numbers are built — segments, counters, and the gapless mode.

Settings → Number Series (/operations/settings/number-series). One numbering engine for every document type. Pick a type on the left; its format is on the right.

Only Operations and Admin can change a series. Anyone else sees “You can view these but not change them.”

SeriesIn use
ConnoteYes — four runs, by job type and lane.
ManifestYes.
QuoteYes.
InvoiceNot yet. It is configured here, but invoices (and credit notes) are still numbered from the prefix in Company System Settings.

If a series is switched off, or cannot build a number, the document still gets one — in the old format — and an error is logged. Nothing stops.

A number is built from segments, left to right. Preview… shows exactly what the next one would look like.

Kind
constantFixed text — the tenant code, the document code, a separator.
dateThe date the number is issued, in the format you pick.
fieldA value the system works out for itself (for connotes: job type and lane). You choose whether it shows and what it prints — you never type it.
sequenceThe counter, zero-padded to the width you set.

Add with + Segment, drag to reorder, × to remove. The ? beside SEGMENTS explains the fields this document type can supply.

Decides how many separate runs there are.

  • Blank — one continuous run.
  • A field name — each value gets its own run (so FTL and LTL count independently).
  • date:%Y%m%d — a new run every day.

RUNS IN USE lists the runs that already exist and how far each has got.

  • sequence — fast; may leave a gap if a document is abandoned after its number was taken.
  • gapless — never skips a number; slower. Meant for invoices.

The badges on the list say the same thing on hover: the two-letter code the series puts into the number, gapless, and off.

⚠️ Numbers already issued have been printed, emailed and quoted back by customers. Change a format with care — the old ones do not change with it.
