Fleet Overview

The fleet at a glance — counts by status and type, which vehicles dispatch is using, total capacity and recent maintenance — and where vehicles are added and edited.

Fleet → Fleet Overview (/operations/fleet/overview). A summary of the vehicle register, and the place to add and edit vehicles.

Total vehicles, Active vehicles and In maintenance count the register by each vehicle’s status. On a dispatch unit counts the vehicles a live dispatch unit is holding right now, as its truck or as a coupled trailer.

Every vehicle: ID, vehicle (make, model and rego), type, licence plate, vehicle status, dispatch, and an Edit button.

  • Vehicle status is what the vehicle is: Active, Maintenance or Inactive. An older vehicle may show Status: Unassigned — a status value from before this form existed. It does not mean the vehicle is free; the Dispatch column says that.

  • Dispatch is what the vehicle is doing: On unit … when a live dispatch unit holds it, followed by the manifest that unit is out on, if any. A vehicle no live unit holds shows —. This is the same answer the Build Unit picker gives, so a vehicle shown on a unit here is one the picker will not offer.

  • Filter narrows the table by vehicle status (All, Active, In Maintenance, Inactive) or by dispatch (On a dispatch unit, Not on a dispatch unit). If nothing matches, the table says so rather than going blank.

  • Group by Type groups the rows under a heading per vehicle type, with a count. Click it again to ungroup.

  • Refresh Data reloads the page.

There is no driver column: a driver is attached to a dispatch unit for a period of time, not to a vehicle. To free a vehicle shown on a unit, take it off that unit on the Dispatch Board.

Add Vehicle (top right) opens the vehicle form; Edit on a row opens the same form filled in. Operations and Admin accounts only.

  • Registration, Vehicle Type and Status are required. The registration is saved in capitals with spaces removed.
  • Status: only Active vehicles can be picked when building a unit on the Dispatch Board. Maintenance and Inactive keep the vehicle on the register but out of Dispatch.
  • Pallet spaces and Payload (kg) are what a dispatch unit built on this vehicle is given as its capacity. Leave payload blank to use GVM − tare. A vehicle with neither still dispatches, but the board cannot tell whether a load fits.
  • Make, model, year, GCM, VIN, registration expiry and DG licence are optional.
  • If the form is wrong, it says which field and keeps what you typed.

A registration already on another vehicle. Some trailers in a set share one registration, so this is allowed — but the form first warns you and lists the vehicles that already have it. Choose Save anyway only if they really share it.

⚠️ Until a pending fleet update is applied, the database still refuses two vehicles with the same registration. Save anyway then says so and saves nothing; edit the existing vehicle instead.

There is no delete: dispatch units, fuel and maintenance records point at vehicles. Set a vehicle you no longer run to Inactive.

How many vehicles of each type, as a share of the fleet.

Total weight capacity is the sum of recorded payloads of active vehicles; Total pallet capacity is the sum of their recorded pallet spaces. A vehicle with nothing recorded adds nothing, so treat these as a floor.

⚠️ Fleet Utilization always reads 50%. It is a fixed placeholder, not a calculation. Ignore it.

The last 20 maintenance records — date, plate, vehicle type, work, description, who did it and cost. It is history, not a schedule: nothing records when maintenance is next due. It stays empty until maintenance records are written.

Opens the Fleet Types & Capacities page. That page is not reliable yet — see Fleet.
