Reconciliation
Match a hire company's statement against your dockets and work the differences.
Reconciliation is checking that what the hire company says happened matches what you have paper for. Because anyone can raise a transaction on your account, this is not optional — transfers can appear on your statement that you never agreed to.
Preview before you commit
Section titled “Preview before you commit”Choose the account and period, paste the statement lines, and press Preview. Nothing is written.
That separation is deliberate: agreeing a statement is a commercial act, and it should not happen as a side effect of opening a file.
Statement lines go in one per docket:
docket, quantity, date, refA-1, 12, 2026-08-01, L-100A-2, -4, 2026-08-03Quantity is signed your way — positive means they owe you. Leave a field blank and nothing is raised for it. If their statement never stated a date, you cannot disagree about the date, and claiming otherwise would put you in the wrong in a dispute you started.
Ours vs theirs
The two balances for the period. When they differ, the findings below are what accounts for the gap — here 342 against 318, explained by the 36 we hold uncredited less the 12 they charge us for.On their statement only
They are charging for a movement we hold no paper for. Either our docket was never recorded, or the movement did not happen. In our records only
We hold paper they have not credited. Chased in the opposite direction — usually by us, at them.Quantity differs
Both sides have the docket, the numbers disagree. The signed copy wins, which is why signed on the Dockets page matters.Accept theirs / Dispute
Per finding, not per statement. A session can close with some findings accepted and others disputed.
What it finds
Section titled “What it finds”| Finding | Meaning | Who chases |
|---|---|---|
| On their statement only | They are charging you for movement you hold no paper for. | You, against them — this is the one that costs money. |
| In our records only | You hold paper they have not credited. | You, to get it credited. |
| Quantity / date / brand differs | You both have the docket but disagree on a detail. | Whoever is wrong. These are the three things CHEP and Loscam will accept a correction on. |
| Duplicate number | The same number appears twice on one side. | Check both before anything else — it makes every other count ambiguous. |
Small date differences are ignored by design. A driver who exchanges at 5pm and captures the docket next morning is routine, as is a statement stamped with the processing date rather than the exchange date.
Working a session
Section titled “Working a session”Open session commits the findings as a worklist. Each one is then Accept theirs or Dispute.
Close session stamps every docket in the period as reconciled. It refuses while findings are still open — you can force it, which agrees their balance while you still disagree with it. Occasionally the right commercial call; never something to do by accident.
Abandon walks away without stamping anything, usually because the statement turned out to be wrong. The findings stay on the record — abandoning is itself a fact worth keeping.
A reconciled docket can no longer be voided.
