Declarations and deadlines

Lodge transfers with CHEP and Loscam before the window closes, and see what undeclared pallets are costing.

Recording a docket does not move pallets off your account. The transfer has to be declared to the hire company and accepted by them. Until that happens you are paying daily hire on pallets you no longer have.

There is a deadline, and it is different for each pooler:

Miss it and the transfer can no longer be lodged at all. Those pallets stay on your account permanently and you keep paying for them.

  1. The four tiles Read left to right they answer: what have we already lost, what is still at stake, what is it costing, and what must be chased today.
  2. Hire cost while unresolved The daily figure is the one to quote upward. The annual figure beside it is the same number if nothing changes — it is a projection, not a bill.
  3. Deadline badge Past deadline means the transfer can no longer be lodged at all. Urgent and Due soon still can. The list is sorted by this, so the top row is always the most urgent thing you own.
  4. The window, per row 180d for CHEP, 60d for Loscam — unless the account carries its own negotiated window, in which case that one is shown and used instead.
  5. Refused, with the reason A refused transfer is still on your account and still charging. The reason the pooler gave is shown so it can be fixed and re-lodged; refusal is not an ending.
  6. Declare Lodges the transfer and moves it to Awaiting pooler. It does not stop the charge — only the pooler accepting it does.

If a warning appears saying only some of the at-risk dockets sit on an account with a hire rate, the dollar figures are a minimum, not a total. Fix it by adding the daily rate from the hire agreement to the account on the Register page.

The worklist is sorted worst-deadline-first, so the top row is always the most urgent thing you own.

Lodge the transfer through myCHEP or your Loscam portal as usual, then press Declare here and paste their reference if you have one. This page records what you did — it does not lodge on your behalf.

Press Accepted. That is the only action that stops the hire charge.

Press Refused and record the reason they gave — it is what you have to fix before re-lodging. The docket goes straight back on the worklist with its original deadline. Being refused does not buy more time, which is why a refusal near the deadline is urgent, not routine.

A plain or unbranded pallet never appears here. GENERIC and OTHER are not pooled equipment — there is no hire company to tell, so they are marked “not pooled” and stay out of the list. If they appeared, real deadlines would be buried under them.

A docket dated today can still be urgent if it is Loscam and it has been sitting for eight weeks — 60 days runs out four times faster than CHEP’s 180. The window is shown next to the brand for this reason.

Only pallets going out count as exposure. Pallets coming in are the other company’s transfer to lodge, not yours.
