Managing jobs

The Jobs list, the side drawer, invoicing delivered jobs, and the day-to-day workflow.

A job in the Operations Portal is a connote (consignment note) — the record of a single transport movement between a pickup and a delivery. The Jobs page is where you spend most of your day.

Navigate to Jobs in the sidebar (/operations/jobs). You’ll see:

  • Stats strip along the top: Total, Draft, Pending, Confirmed, Allocated, In Transit, Delivered, Invoiced, Cancelled. Each stat is clickable — clicking filters the list to that status.
  • Filters: a search box, Status, and Customer.
  • Table: one row per job, showing the job #, customer, route (origin → destination), amount, status badge, pickup date, and created date.

Click any row to open the side drawer with the full job details.

The old Connotes list (/operations/connotes) has been retired — it now opens this page. A single connote’s full page (/operations/connotes/<id>) still exists: open it with the expand icon in the drawer header.

The drawer slides in from the right and shows:

  • Header: connote number, status badge, created date, the expand icon (full page view), and the actions:
    • Draft or Pending jobs: Edit booking (the full form) and Quick edit (inline).
    • Later statuses (already dispatched): Edit — the restricted inline edit only.
    • Rebook — open Create Booking pre-filled from this job as a new booking. Any status.
    • Send to iDrv4, or once forwarded, a green Forwarded to iDrv4 (…) badge plus Forward documents.
  • References: connote number, booking reference, customer reference, job type.
  • Route: pickup and delivery addresses + time windows + distance + transit time.
  • Cargo: activity type, total packages/weight/volume/chargeable weight.
  • Packages (when present): itemised table of each package with dimensions, weight, and description.
  • Pricing & Addons: Base Charge (flagfall), Freight, Fuel Levy, each addon line, Subtotal, GST, Total.
  • Options: tailgate pickup/delivery, dangerous goods, express, insurance.
  • Instructions / status notes (when present).
  • Manifest / Notes / Tracking (when present).
  • Audit: booking date, required-by, last updated.

Only Delivered jobs can be invoiced, and only they show a checkbox and an invoice icon.

  • One job — click the invoice icon on its row.
  • Several jobs — tick them; a Generate Invoice (N) button appears when every ticked job belongs to the same customer (it hides if you mix customers).

Confirm, and the invoice is created and its PDF opens in a new tab. The jobs move to Invoiced. See Create an invoice for the invoice itself.

The expand icon opens /operations/connotes/<id>, which shows:

  • Every stop — each pickup and delivery, numbered (“Delivery 2 of 3”). A stop a driver added on the road is labelled added by driver.
  • The POD card — see below.

Generate POD creates a POD document from the booking, optionally with delivery photos attached as an annexure (JPEG, PNG or GIF, up to 10 MB each). Each generation adds a new POD rather than overwriting the last.

To clear out a wrong one, click its archive icon (tooltip Retire this POD). A retired POD is hidden from the card but not deleted — it is delivery evidence and stays on record. You can give a reason. Only Operations and Admin users can retire a POD.

  • Create a booking — the green + Create Booking button in the sidebar.
  • Edit a job — Quick edit for non-pricing details; Edit booking (draft/pending only) for anything that affects the price.
  • Forward to iDrv4 — push the connote into the Ceres TMS for execution.

Click the × in the top-right of the drawer, or click outside the drawer area, or press Escape.
