Drivers

Add and edit driver records, link a login, and give a driver a PIN for the driver app.

Drivers are managed under Drivers → Driver Management (/operations/driver-management). A driver record holds the person’s name, license and contact details. It is also how a driver gets into the driver app.

Each row shows Type, Name, License #, License Expiry, Class, Phone, Email and Status. Two panels sit below the list:

  • Upcoming License Expirations: licenses expiring in the next 90 days, with the days left.
  • Driver Type Distribution: how many drivers of each type.

A driver with an expired license is still a valid record. It usually belongs to someone not currently driving, and the license is renewed before they drive again.

  1. Click Add Driver.
  2. First Name, Last Name and License Number are required. Also fill in License Expiry Date.
  3. Optional: Licence Class, Phone, Email, Driver Type (free text) and Status (Available, En Route or Inactive).
  4. To let them use the driver app, set Linked login and App PIN (see below).
  5. Click Save Driver.

Licence Class is the class on the driver’s licence: C, LR, MR, HR, HC or MC. Dispatch shows it as the driver’s badge when you assign them to a unit, and warns when it is below the class a vehicle needs. A driver with no class recorded shows no badge, and dispatch cannot check them.

Some imported drivers carry a class that is not on that list. The form shows it as (not on the register) and keeps it unless you choose another.

  • View (eye icon) shows the full record: the linked login, app access, and when the record was added and last changed. Click Edit from there.
  • Edit (pencil icon) opens the same form, filled in.

A driver signs in to the app with the company code, their mobile number and a 4-digit PIN. Set it up in the add or edit form:

  1. Linked login:
    • Create a new login for this driver: Onyx makes a Driver-role login from the driver’s name and email. Email is needed for this. Nobody gets a password for it.
    • Or pick an existing Driver-role login. Only logins no other driver uses are listed.
    • No login: the driver cannot sign in to the app. This is fine for someone who never will, such as a subcontractor’s offsider.
  2. App PIN: exactly four digits. It is disabled until a login is chosen, and it needs a Phone number, because the mobile number is the username the driver types.
  3. Save Driver.

About the PIN:

  • A PIN cannot be looked up later, by anyone. Tell the driver directly. To change it, type a new one. When editing, leave the field blank to keep the current PIN.
  • Obvious PINs are refused: repeated digits (0000, 1111…) and simple runs (1234, 4321, 0123…).
  • After 5 wrong attempts the app locks for 15 minutes. Setting a new PIN unlocks it straight away. That is the fix when a driver rings in locked out.
  • The form shows the current app access. For example: Signs in as +61…, PIN set 01/10/2026 09:12, last sign-in …, and whether it is locked.

To remove app access, set Linked login to No login — unlink and remove app access and save.

If a save half-works, for example “Driver saved, but the app PIN was not set”, correct the problem and press Save Driver again. The form now edits the saved driver, so you will not get a duplicate.

  • Delete and Export on this page do nothing yet. To stop using a driver, set Status to Inactive.
  • Driver Hours and Driver KMs have no data source yet. Hours show “Time records table not found”, and kilometres show as unavailable. Use them only once they are announced as live.

Office staff (Operations, Admin, Warehouse) get their handset PIN on the Users screen instead. See User management.
